If you become a client

Clients give us much more detailed information, such as identity documents and education, employment, family and immigration history. We use that information only to provide the services set out in the written service agreement and to meet our regulatory obligations, and we share it with government bodies such as Immigration, Refugees and Citizenship Canada only as part of the applications you have instructed us to prepare or as the law requires. Your service agreement describes this in more detail.

Service providers and storage outside Canada

We rely on a small number of service providers to run this website and our booking process:

  • Formspree, which delivers message and newsletter form submissions to us;
  • Calendly, for scheduling appointments;
  • PayPal, for payments;
  • Google, for the map on our Contact page and for web fonts;
  • our website hosting provider.

These providers may process or store information outside Canada, including in the United States, where it is subject to the laws of that country. Each provider has its own privacy policy.

Cookies and tracking

This website does not use advertising cookies or analytics trackers. Third-party services embedded on some pages, such as Google Maps and PayPal, may set their own cookies and will receive your IP address when those pages load.

How long we keep it

We keep inquiries for as long as needed to respond to you and for a reasonable period afterwards. Client files are kept for the period required by our professional regulator and by law, and are then securely destroyed. You can unsubscribe from updates at any time by emailing us.

How we protect it

We use reasonable physical, technical and administrative safeguards to protect personal information against loss, theft and unauthorized access. No method of sending information over the internet is completely secure, so please use care with what you send by email or web form.

Your choices and rights

You may ask what personal information we hold about you, ask us to correct it, or withdraw your consent to our continuing to use it, subject to legal and contractual limits. Write to info@ziwen.ca and we will respond within the time the law requires.

If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
